Audit History
Overview
Audit History lets you see who changed a record such as a patient's demographic information and when that change was made. You can access Audit History using the history icon available on patient and entity records.
The technology that powers Audit History has been enhanced to be faster and more reliable. With this enhancement, the amount of history immediately viewable has increased from one year to three years. This article explains what's new, why it matters, and how to request older data when you need it.
What's New
Audit History now shows the past three years of activity directly in the history viewer. There will be a brief note in the viewer confirming the data shown reflects the past three years.
Importantly, no audit data has been deleted. Records older than three years are preserved in secure, long-term storage and remain available on request.
Why This Change
Audit History previously ran on older technology that retained an unlimited history but became slower and less reliable as the volume of data grew over time. Audit History has moved to a modern, cloud-based platform designed to keep recently used data instantly accessible while securely archiving older records in cost-efficient, long-term storage. This provides faster, more dependable access to the history you use most, while still preserving the full audit trail.
Value to You
-
Faster performance: Recent history loads quickly, with no degradation as your historical data grows.
-
Greater reliability: Fewer errors and timeouts when reviewing audit records.
-
Full data preservation: Every audit record is retained; nothing is permanently lost.
-
Transparency: The history viewer clearly indicates the time range being displayed.
Data Retention Overview
| Data Age | Where it Lives | How to Access |
| 0-3 Years | Active Storage | View instantly in the History Viewer |
| 3+ Years | Long-term (archival) Storage | Submit a support request |
Requesting Data Older Than 3 Years
If you need audit history beyond the standard three-year window, our support team can retrieve it from long-term storage on your behalf. To request archived audit data:
-
Submit a support request through your HHAeXchange support channel.
-
Include the entity or record name (e.g., patient name), the specific field(s) of interest, and the date range needed.
-
Our team will retrieve the archived records and provide them to you.
Retrieval from long-term storage is handled as a support request rather than a self-service action within the application.
