The General section is used to capture and set basic Office information and requirements.

Select to allow open shift broadcast to send text message based on either the script selected or text input (broadcast screen) for the matching Caregivers within the office. Text input from broadcast screen will override the selected script. |
Allow Caregiver Absence and Visit/In-Service Overlaps |
Select for the system to allow users to schedule Caregivers to Visits and/or In-Services when they have a scheduled absence. If unselected, Caregivers cannot be scheduled for Visits and/or In-Services when absent |
Calculate and Pay Off Duty Time (ODT) |
Off Duty Time (ODT) is the remaining time after Travel Time between two same-day visits for a Caregiver. If your Office would like to pay Caregivers for this time, as long as it is less than a certain number of minutes, check the box and enter the maximum number of minutes you are willing to pay for ODT. Default ODT Pay Codes must be created in Reference Table Management and added to Payroll Setup |
Display MD Order Caregiver Tab as Duty Code View or Order/Goal View |
If selected Duty Code View, the Caregiver tab on the Patient MD Order will display your list of available duties for selection. The printed MD Order will display the individual duties selected on the Caregiver tab. If selected Order/Goal View, the Caregiver tab on the Patient MD Order will display using the Order/Goal format used for the other disciplines. Users can enter Orders and Goals via free text, or configure checkbox selection options via the Clinical Reference Tables. The printed MD Order will display these Orders and Goals, not individual duties. |
Automatically adjust schedule to match confirmation times |
Automatically adjust schedule to match confirmation times. When this flagged is checked, schedule times will be updated to match the confirmation times for the visit. New schedule times will follow the Payer Rounding Rules found in Admin > Payer Setup > Billing/Collections > Round On |
Master Week Rollover Time Frame |
Indicates the number of days into the future the system creates Visits under the Master Week functionality as well as the timeframe used for Authorization calculations. This field is for reference only. This feature is activated by HHAeXchange System Administration. Contact HHAeXchange Support Team for details, setup, and guidance. |
Auto-Approve Patient Schedule Changes for Consumer Directed |
This setting controls automatically approving schedule change requests sent by Patients or Family Patients via the Family Portal if there are no schedule conflicts. In the event there are schedule conflicts, the request will be sent to the Patient Visit Family Dashboard |
Automatic Splitting of Overnight Shifts |
The system will automatically split shifts that occur overnight. Caregivers will only need to submit a clock in and clock out for overnight shifts. |
Minimum Duration for Overnight Shifts |
This field determines the minimum amount of time required in order for an overnight shift to be split. For example, if this field is set to 30 minutes, then a visit that ends at 12:30am would not be automatically split, but a visit ending any time after 1:00am would be split. |

This field controls which type(s) of visits will be automatically split. |
