HHAeXchange System ID Numbers

The tables below define the various system IDs for Caregivers and Patients found throughout the HHAeXchange platform.

Alt Caregiver Code

Agency

A unique secondary code that an Agency assigns to the Caregiver most often used for Payroll, as it is searchable in the system.

Caregiver Code

HHAeXchange

A unique HHAeXchange generated code, created by combining the Agency Office Code and a HHAeXchange system-generated four digit code for Caregiver (such as ABC-1234). This Code is used to assign a specific Caregiver to the Patient’s schedule in the Master Week template, or when selecting a Caregiver on the Patient’s schedule in the Calendar view and Appointment’s module.

Caregiver Mobile/

Portal ID

HHAeXchange

The Caregiver’s ID for the Mobile App. Once the Caregiver is activated on the Mobile App using their personal device, the Caregiver must provide this number to the Agency(ies) to link the systems.

Employee ID

Agency

A unique ID field created by the Agency to hold legacy system data; typically used when Alt Caregiver Code is already taken. The Employee ID is not searchable in the system.

Mobile Device ID

HHAeXchange

Identification number generated by the HHAeXchange system to link a specific device (mobile phone or tablet), restricting a Caregiver to only use that device to Clock IN/OUT and/or perform any other functions.

Time & Attendance PIN

HHAeXchange (can be modified upon request)

Unique ID number generated and assigned by the HHAeXchange system when a Caregiver is created. This is the number a Caregiver enters when placing EVV using the phone (IVR). This ID number is seen on the Caregiver’s Profile page in the Time & Att. PIN field.

Admission ID Number

HHAeXchange

A unique ID Code generated by the HHAeXchange system when the Patient Profile is created. This unique ID Code is used to search for a Patient in the system. ID can be modified by an Agency user with proper permissions.

Alt. Patient ID

Agency

A unique secondary ID number assigned to the Patient, editable in the Patient’s Contract page for billing purposes.

Medicaid Number

Federal/State Office

The Patient’s Medicaid recipient identification number issued by the Federal/State. The Homecare Agency is responsible for providing this information for billing purposes.

Patient’s HI Claim No

Agency

The Health Insurance claim number assigned to the Patient.

Patient ID

Agency

A Patient Identification Code assigned to the Patient by the Agency; typically a legacy system ID number.

Referral ID

HHAeXchange

A unique ID code generated and assigned by the HHAeXchange system to a Patient during the Referral intake process.
