Your Onboarding Journey Starts Here
Welcome - we're so glad you're here. Starting something new can feel big, but you're not doing it alone. This topic gives you everything you need to get started and feel confident using the HHAeXchange portal.
The onboarding steps are broken into 5 categories that help you see where you are, what comes next, and how to keep moving forward with success. We're here to support and guide you every step of the way.

You will receive a welcome email from HHAeXchange that includes information about your first call with your Project Manager and your onboarding check sheet.
In this stage, you'll attend a kickoff call to meet your Project Manager, learn about our onboarding process, and get set up in the project management tool, OnRamp. You'll also fill out a few forms so we can understand your agency's needs and start setting up your HHAeXchange portal.
Next we will build your HHAeXchange foundation.
It's time to build your HHAeXchange foundation! Think of this stage as setting up the backbone of your HHAeXchange portal, the essentials that everything else runs on.

Your goal: Log in to your HHAeXchange portal, add your Agency's users, and enter your first caregivers and patients.
This is where things start to feel real! You're building schedules and preparing caregivers to clock in and out to ensure accuracy and efficiency.

Your goal: Schedule visits, create your Master Week schedule, confirm Caregivers are trained, can access the HHAeXchange Mobile App, and validate Electronic Visit Verifications (EVV) are accurate.
In this stage you learn to review, correct and prepare visits for accurate billing and EVV compliance.

Your goal: Search for visits in Visit Maintenance, link EVV to Scheduled Visits, and manage Visit Maintenance.
